Job description
We are looking for a well-organized and customer-friendly Front Office & Admin Executive to manage front desk operations and provide a positive first impression for clients and visitors. This role requires someone with a basic understanding of the real estate and construction industry, strong communication skills, and the ability to handle administrative responsibilities efficiently. The ideal candidate will be proactive, responsive, and maintain a clean and organized reception area.
Key Responsibilities
Reception & Visitor Management:
* Welcome and assist visitors, clients, and vendors courteously and professionally.
* Maintain visitor records and ensure accurate entry/exit logs.
* Handle incoming phone calls and route them to appropriate departments.
* Ensure the reception area is clean, organized, and presentable at all times.
Customer Service:
* Provide prompt and effective assistance to clients and guests.
* Handle customer inquiries and redirect them as necessary.
* Maintain a low complaint rate by ensuring a smooth and professional experience.
Administrative & Clerical Support:
* Assist in routine office tasks such as filing, copying, scanning, and data entry.
* Maintain accurate and updated records of office and visitor activities.
* Ensure timely communication and zero communication gaps across teams.
Office Maintenance & Coordination:
* Monitor cleanliness of shared areas such as reception, pantry, and meeting rooms.
* Ensure office supplies, visitor kits, and stationery are well-stocked and maintained.
* Report maintenance issues and coordinate resolutions quickly.
Operational Efficiency:
* Respond to emails and internal requests in a timely manner.
* Maintain organized filing systems (both digital and physical).
* Assist with scheduling meetings and appointments as needed.
Knowledge & Etiquette:
* Possess a basic understanding of the construction and real estate industry.
* Exhibit professionalism in customer interactions and call handling.
* Stay updated on internal processes and core business values.
Requirements
* Bachelor’s degree in any stream.
* 1–3 years of experience in front office or administrative roles preferred.
* Basic knowledge of real estate or construction industry is an advantage.
* Good written and verbal communication skills.
* Strong customer service and interpersonal skills.
* Proficient in MS Office and basic office equipment.
* Organized, punctual, and presentable.
